How to record supplier purchases on Meku
Record the goods your suppliers bring, so your stock is added, your suppliers are kept, and your inventory stays correct. It replaces the notebook of supplier debts.

A purchase notebook works well until a page tears, you forget to write something down, or you cannot read what you wrote six months ago. Those gaps show later, when your stock count does not match.
Purchases in Meku are the same notebook, but no page can be lost. They also update your stock automatically, so you do not type the quantities again.
What you need before you start
- Goods from your supplier in front of you (or a recent purchase you remember)
- Your supplier’s name and phone number
- The list of products they brought, with the quantity and the cost of each
Step 1: Add the supplier once
Go to Contacts → Suppliers and tap Add. Enter the name you really use for them (“Mama Lucy Wholesalers”, not “Acme Trading Co. Ltd”), their phone, and an address if you want. You do this only once for each supplier. Every future purchase uses the saved list.
Step 2: Record the purchase
Go to Inventory → Purchases and tap Record a purchase. The form has three parts:
- Supplier: start typing and Meku finds them. If they are new, add them right there.
- What arrived: products you sell, or materials you use to make your products (only if Materials and Ingredients is turned on).
- Items: search for each product, then set the quantity and the cost of one item.
If the goods expire (bread, milk, medicines), add the expiry date for each item. Meku warns you before they expire.
Step 3: Say whether you have paid
If you paid, choose the account the money left, such as CASH or your Lipa namba. If you will pay later, say so and add the date you must pay. Meku keeps what you owe under Debts → Suppliers until you pay.
Then save. At the same moment, Meku records the purchase, adds the stock, and adds a line to each product’s stock history with the supplier and the date.
Tip: Record the purchase while you unload, not later from memory. It takes about 90 seconds for 10 items, and the numbers are correct the first time.
Step 4: See your purchases from each supplier
Tap a supplier under Contacts to see every purchase from them: the total you spent, the last purchase, and the usual amount. Use this information the next time you discuss prices with them.
Step 5: Cancel a mistake without losing the record
If you recorded a purchase wrongly, such as the wrong supplier, the wrong quantity, or goods that never arrived, the owner can cancel it. Open the purchase and tap Cancel. The stock that was added is removed at the same moment. The purchase stays in your history, marked as cancelled, so your records stay honest.
Common questions
What if the supplier brought the wrong quantity? Record what actually arrived. If you find a shortage later, open the product, tap Adjust, and write a clear reason. This keeps a record of the change.
Can I record a purchase from a supplier I use only once? Yes. Type the name in the supplier field and add them there. They stay on your supplier list for next time, and it is no extra work.
Does this work for materials, not only products I sell? Yes. Turn on Materials and Ingredients under Settings → What you sell, add your materials, then record the purchase for materials. The stock is added to your materials, not to the products you sell.
