How staff can use Meku without seeing your business data

Give your staff their own Meku logins with the right permissions, so someone can sell at the POS while your prices, profit and business numbers stay private.

When you employ your first helper, you may want to give them your phone or your password. Do not do it. Meku gives each staff their own login, so someone can sell at the POS while your profit and your business numbers stay private to you. Setting it up takes about two minutes for each person.

What you need before you start

  • The staff member’s full name, and an email address they use
  • An idea of how much access they need: only the POS, or the POS and the stock as well

Step 1: Open Access

Go to Staff → Access. You see everyone who can log in to your business: you first, then everyone else. Tap Invite.

Step 2: Choose a role

There are three roles to choose from, from the least access to the most:

  • Staff: can sell at the POS, receive goods from suppliers, record their own expenses, see and update online orders, and see today’s sales only. They cannot see reports, cannot delete products, cannot change stock counts, cannot refund or cancel a sale, and cannot see other people’s expenses.
  • Manager: everything staff can do, plus stock, moving stock between shops, refunds, reports and balances.
  • Admin: manages everything day to day, but not the money settings, the plan, or cancelling sales, purchases and expenses. This is useful for a partner in the business.

Most shops give the cashier the Staff role, and the head cashier or a family member the Manager role.

Step 3: Send the invitation

Meku sends the invitation to their email, and you can also share the link with them directly. They open the link, type their name and choose their own password. You never need to know their password.

Step 4: Tell them what they will see

When your staff member logs in, they see:

  • A short home page with today’s sales only
  • The POS, today’s sales, purchases, online orders, debts and their own expenses
  • No reports, no billing and no business settings

When they open their sales, they see only today’s sales. They cannot look at old figures.

Tip: Stay with your new staff member for their first sale on their own login. Five minutes of help on the first day prevents many small mistakes later.

Step 5: Change or remove access when your staff changes

Open any person under Staff → Access to change their role, or to remove their access. Remove access when someone leaves. Their past sales and expenses stay in your records with their name on them, but they can no longer log in.

Common questions

Can staff cancel sales they made by mistake? No. By default, only the owner can cancel a sale, because cancelling a sale changes your figures. The owner can give this permission to someone they trust.

Why can my staff see the customer’s phone on a debt? Because following up debts is part of their work. If a customer comes to pay a debt, your staff member needs to find them. The phone number is needed for the work.

Can a staff member work from their own phone? Yes. They log in on mekubusiness.co.tz or in the app with their own login. You do not need to share phones. Each login has its own record, so Meku knows who recorded what.

  • How to track stock on Meku without counting every day: your managers can change stock counts.
  • How to track business expenses on Meku: your staff can record their own expenses, such as boda fares.
  • How to track credit sales and customer debts on Meku: your staff handle credit at the counter, and you see every debt.

Open mekubusiness.co.tz/settings/staff to invite your first staff.
